Office/Business Manager
Job Description
Responsibilities
Specialized administrative work in directing the daily business activities of the Lofte Community Theatre. The office/business manager is the representative of the theatre in the areas of personnel, payroll, financials, sales, and other business related activities. The general duties and responsibilities include, but are not limited to the following:

MANAGING AND REPORTING
Report to the board treasurer or other designated executive committee member as needed for issues requiring board input and/or direction.

Ensure that all business related inquires coming to the office are addressed and handled in a timely and professional manner.

Attend monthly board meetings and report as necessary on all items under the purview of the position.

Perform the clerical duties for the Lofte office and the committees of the Lofte board.

Coordinate and make timely entries of financial transactions in the Quick Book System under the direction and the guidance of the applicable accounting firm and the Lofte treasurer; make routine
deposits of receivables.

Work with associated vendors to negotiate contracts and pricing.

Ensure safety and security, both electronically and physically, of all Lofte business matters, files and documents.

Ensure office equipment is maintained and running efficiently with necessary supplies on hand at all times.

SALES AND OTHER DUTIES
Market the Lofte facility, costumes and other property for rentals ensuring appropriate contracts, insurance coverage and payments are in place. Work closely with facility renters to ensure access to building, and concessions, technical and other needs are met.

Ensure positive communication and cooperation with the Lofte ticket vendor for an efficient ticketing process and quick resolution of any issues. Utilize the ticket vendor to promote and sell tickets to patrons, groups and other entities.

Promote and sell sponsorships and advertising, corporate and private, to serve the Lofte’s financial goals.

Coordinate with contributors of information, art, etc., for show programs and work with current program designer to ensure an effective product; print programs as tickets sales dictate for each show.

Provide excellent customer service. Approach all opportunities benefiting the Lofte with the mindset of, “Under promise and over deliver”.
